To perform a wide variety of clerical duties for a fast-paced office in the collection, verification and balancing of cash, check and credit card receipts; to provide professional, effective and efficient assistance to the general public. This position is responsible for providing clerical support to the Utility and Customer Service Department.
SUPERVISION
General supervision is provided by the Customer Service Manager.
- Perform receptionist activities including answering high volume phone calls for City Hall and the Utility Department; responding to customer inquiries and complaints, directing such inquires to the appropriate persons, taking and relaying messages. Greeting and directing guest upon arrival for meetings.
- Customer accounts; review billing amounts with customers, process initiation/ termination of utility service, verify/update customers personal information including name and address changes.
- Maintain a variety of files and filing systems; prepare, maintain and update various records, research and verify information as requested.
- Payments; collect, sort, process incoming night deposit/mail payments. Process in-person customer payments. Balance register and prepare daily deposit.
- Prepare and distribute work orders; meter readings, utility connections including new and revised accounts, meter sets for new builds, meter maintenance, leakage, street/sign maintenance, water and sewer line locates and termination of water service for delinquent accounts.
- Enter deposits processed for other city departments.
- Sanitation and Recycle Service; manage log for delivery and pick up of trash and recycle carts, investigate and resolve resident complaints/concerns.
- Process yearly pet registration and issue registration tags.
- Regular attendance is a requirement of the position.
OTHER DUTIES AND RESPOSIBILITIES
- Collect, sort and distribute incoming mail for City Hall.
- Provides clerical support by coping, faxing, scanning, data entry, and filing.
- Manage office supplies, paper stock and copies of utility forms.
- Performs other duties as assigned.

- Basic business letter writing and report preparation.

- Operating office equipment such as a computer and standard business software, copier, calculator, credit card machine and facsimile machine.
- Typing various documents and correspondence.

- Professionally and tactfully respond to requests and inquiries from the general public.
- Learn city ordinances and department policies and procedures.
- Simultaneously perform a variety of clerical functions.
- Establish and maintain cooperative working relationships with those contacted in the course of work.
- Communicate clearly and concisely, both orally and in writing.
- Adapt to a variety of work situations and interruptions.
- Work independently in the absence of supervision.
- Pass required criminal background checks and drug screening test.
MINIMUM JOB REQUIREMENTS
EDUCATION
High school diploma or G.E.D.
EXPERIENCE
Must have a minimum one year of cash collection and clerical experience and a minimum of two years customer service experience.
LICENSES AND CERTIFICATES
Must be bondable.
Maintain physical condition appropriate to the performance of assigned duties and responsibilities which may include the following:
- Sitting for extended periods of time.
- Lifting objects up to 30 lbs.
