A well-established and highly collaborative law firm is seeking an experienced Estate Administration Client Support professional to join its growing Estate & Trust Administration team. Position OverviewThe Estate Administration Client Support role serves as a central part of the firm's estate and trust administration practice. This individual will help manage estate administration workflows, coordinate with attorneys and paralegals, maintain organized case files, and ensure matters progress efficiently and accurately from start to finish.
This role blends legal support, case management, client communication, and workflow coordination in a fast-paced professional environment.
Key ResponsibilitiesInitiate and manage estate administration workflows and related documentation
Identify, gather, and organize estate assets and maintain detailed inventories
Coordinate with attorneys and paralegals to ensure timely and accurate filings
Track deadlines and proactively identify missing information or potential issues
Serve as liaison between attorneys, clients, and support staff
Prepare, file, and track documents through eFile systems
Maintain organized case files and accurate status reporting across multiple active matters
Conduct initial client meetings/calls and collect consultation fees
Review submitted documents and follow up with clients regarding outstanding items
Schedule bi-monthly status update meetings with clients
Assist attorneys and paralegals in obtaining information needed for final accountings
Provide professional and compassionate client support throughout the estate administration process
Minimum 2 years of estate administration experience required
Prior experience working in probate, estate planning, or trust administration environments preferred
Strong organizational and deadline management skills
Excellent communication and client service abilities
Detail-oriented with strong follow-through and problem-solving skills
Ability to manage multiple active matters simultaneously
High level of professionalism, discretion, and integrity handling confidential information
Ability to work collaboratively with attorneys, paralegals, and clients
NC Notary preferred
