Shift hours may vary depending on location: 7am 4pm, 8am 5pm, 9am 6pm. Overtime may be required. Work week Mon Fri. Candidates must be available for work between 7am and 7pm and ready to adjust on a short notice.
Overview
Seeking a reliable and customer-focused professional to provide operational support across multiple customer locations within an assigned geographic area. This multi-site role requires daily travel using a personal vehicle and flexibility to work at different locations with varying schedules. The Area Customer Service Coordinator supports reception, mailroom, print production, hospitality, office services, site coverage, customer service, and administrative functions while ensuring compliance with operational procedures and service standards.
Responsibilities- Provide daily operational support at multiple customer locations.
- Cover absences, vacations, training, implementations, and service expansions.
- Perform reception duties, including greeting visitors, answering and forwarding calls, and providing customer assistance.
- Manage mailroom operations, shipping, receiving, package handling, and distribution.
- Perform print production tasks, including printing, copying, binding, assembling documents, and finishing work.
- Operate and maintain office equipment by replenishing toner and paper, clearing jams, and reporting service issues.
- Schedule conference rooms and support meeting setup and breakdown.
- Assist with hospitality services, including stocking kitchens, receiving catering orders, and maintaining clean, organized office areas.
- Communicate effectively with customers and team members through email, phone, messaging platforms, and in person.
- Support onboarding and cross-training of team members.
- Assist with process improvements, procedural testing, and validation activities.
- Help develop, maintain, and inspect site procedure guides to ensure compliance and accuracy.
- Conduct visual inspections of site operations to support safety and service quality standards.
- Escalate customer concerns and support issue resolution through completion.
- Complete required reports, documentation, and expense submissions accurately and on time.
- Travel between assigned locations and adjust to changing work assignments, including same-day site reassignments.
- Perform additional duties as assigned.
- Valid driver's license and personal vehicle required.
- Ability and willingness to travel regularly between worksites, including locations in Stamford, CT; Greenwich, CT; Tarrytown, NY; Rye Brook, NY; Armonk, NY; and Yorktown Heights, NY.
- Availability to work Monday through Friday with flexible shifts between 7:00 AM and 7:00 PM; overtime may be required.
- Strong customer service, communication, interpersonal, and problem-solving skills.
- Reliable, professional, patient, detail-oriented, and adaptable.
- Proficiency with Microsoft 365 applications, Outlook, Teams, and general computer systems.
- Reception, hospitality, mailroom, office services, or print production experience preferred.
- Law firm experience preferred.
- Ability to interpret and apply procedures, instructions, and operational requirements.
- Ability to work independently and in a customer-facing environment.
- Ability to stand, walk, bend, reach, stretch, and move throughout office and campus environments for extended periods.
- Ability to lift and move items weighing up to 50 lbs. and push or pull equipment as needed.
- Must pass required customer-specific background checks and drug screening.
- Must be fully vaccinated and able to meet customer vaccination requirements, including annual flu vaccination where applicable.
- High-end business casual attire required.
