SUMMARY

The Customer Service Representative serves as a front-line ambassador for the City of Saco, providing courteous, accurate, and timely service to residents, taxpayers, and visitors. This role performs a wide range of financial and administrative tasks, including processing payments, issuing licenses and registrations, and supporting the Tax Collector and Finance Department with ongoing projects. Professionalism, attention to detail, and strong customer service skills are essential.

SUPERVISION

This position works under the general supervision of the Deputy Finance Director and the daily supervision of the Tax Collector.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Mail Processing - Opens and processes incoming mail.

  • Customer Assistance - Responds to inquiries in a professional and courteous manner.

  • Phone Operations - Answers City Hall's main phone line and routes calls appropriately.

  • Front Counter Services - Processes property tax payments and other municipal transactions.

  • Financial Systems Use - Utilizes financial software, data entry tools, spreadsheets, and web-based payment systems.

  • Excise Tax Collection - Collects excise taxes and registers motor and recreational vehicles for the State of Maine.

  • Permit & License Issuance - Issues municipal permits, State of Maine hunting/fishing licenses, ATV/boat/snowmobile registrations, and dog licenses.

  • Cash Drawer Balancing - Performs daily reconciliation of cash drawer.

  • Departmental Support - Assists the Finance Director, Tax Collector, and City Clerk's Office as needed.

  • Specialized Focus Area - May serve as point person in one of the following:

  • Accounts Receivable

  • Inland Fisheries & Wildlife Agent

  • Tax Liens & EZ Pay

  • Motor Vehicle Agent

  • Deputy Tax Collector

  • Accounts Payable

  • After-Hours Meetings - May occasionally attend team meetings outside regular hours.

  • On-Site Requirement - All work must be performed on-site.

  • Performs additional duties as assigned.

Position Requirements

JOB REQUIREMENTS

  • Cash Handling Experience

  • Professional Customer Interaction

  • Payment Processing Accuracy

  • Regulatory Learning Ability - Ability to learn City Charter, Municipal Code, and State of Maine regulations.

  • Motor Vehicle Agent certification required within one year of hire.

  • General understanding of vital statistics processes (births, deaths, marriages, licenses).

TOOLS AND EQUIPMENT

Computers, Microsoft Office, MUNIS software, telephone system, photocopier/fax machine, calculator.

PHYSICAL DEMANDS

  • Must be able to lift and/or move up to 10 lbs frequently.
